This Privacy Policy describes the policies and procedures of SignSafe Tech, LLC (“SignSafe Tech,” “the Company,” “We,” “Us,” or “Our”) regarding the collection, use, and disclosure of Your information when You use our Service. It also explains Your privacy rights and how the law protects You.

We use Your Personal Data to provide and improve our Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.

Interpretation

Words with initial capital letters have defined meanings under the following conditions. These definitions apply whether they appear in singular or plural form.

For the purposes of this Privacy Policy:

  • Account means a unique account created for You to access our Service or parts of our Service, including the Sign Management Platform, analytics dashboard, and related features.
  • Affiliate means an entity that controls, is controlled by, or is under common control with a party, where “control” means ownership of 50% or more of the shares, equity interest, or other securities entitled to vote for election of directors or other managing authority.
  • Company (referred to as either “the Company,” “We,” “Us,” or “Our” in this Policy) refers to SignSafe Tech, LLC, Las Vegas, NV.
  • Cookies are small files placed on Your computer, mobile device, or any other device by a website, containing details of Your browsing history on that website among its many uses.
  • Country refers to: Nevada, United States.
  • Device means any device that can access the Service, such as a computer, cellphone, or digital tablet.
  • Patron means any end user who scans a QR code generated by our Service to view translated sign content. Patrons do not need an Account to use the translation and Text-To-Speech features.
  • Personal Data is any information that relates to an identified or identifiable individual.
  • QR Code Data refers to scan activity data collected when a Patron scans a SignSafe Tech QR code, including but not limited to: device language settings, time and date of scan, and device type.
  • Service refers to the Website, the Sign Management Platform, QR code translation and Text-To-Speech functionality, analytics dashboard, and all related features provided by SignSafe Tech.
  • Service Provider means any natural or legal person who processes data on behalf of the Company. This includes third-party companies or individuals employed by the Company to facilitate the Service, provide the Service on behalf of the Company, perform services related to the Service, or assist the Company in analyzing how the Service is used.
  • Sign Data refers to the content You upload to the Service, including sign photos, sign text, sign titles, notes, and any associated configuration such as location assignments, call-to-action links, and series linkages.
  • Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit or QR code scan frequency).
  • Website refers to SignSafe Tech, accessible from https://signsafetech.com/
  • You means the individual accessing or using the Service, or the company or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.

Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

While using Our Service, We may ask You to provide Us with certain personally identifiable information that can be used to contact or identify You. Personally identifiable information may include, but is not limited to:

  • Email address
  • First name and last name
  • Company or organization name
  • Address, State, Province, ZIP/Postal code, City
  • Usage Data

Sign Data

When You use the Sign Management Platform, We collect and store the content You provide, including:

  • Photos of signs You upload for translation
  • Sign text content (whether entered manually or extracted via our AI-powered text recognition)
  • Sign titles, notes, and configuration settings
  • Location assignments and call-to-action links
  • QR code configurations and sign series linkages

This Sign Data is stored securely using AES-GCM encryption and is used solely to provide the translation and sign management services You have requested.

QR Code Scan Data (Patron Data)

When a Patron scans a SignSafe Tech QR code, We automatically collect limited data to provide the translation service and generate analytics for Account holders. This data may include:

  • Device language and locale settings (used to determine translation language)
  • Device type and operating system
  • Date and time of the scan
  • IP address

Important: Patrons are not required to create an account, log in, or download an application to use the QR code translation and Text-To-Speech features. We do not collect names, email addresses, or other directly identifying information from Patrons.

Location Data (Emergency and Maintenance Reports Only)

Approximate location data is only collected when a Patron voluntarily submits an emergency or maintenance report through a sign that has these features enabled. The Patron must explicitly grant permission on their device to share their location before any location data is collected. Location data is not collected during regular QR code scans or translation usage.

Usage Data

Usage Data is collected automatically when using the Service. It may include information such as Your Device’s Internet Protocol address (e.g., IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers, and other diagnostic data.

Tracking Technologies and Cookies

We use Cookies and similar tracking technologies to track the activity on Our Service and store certain information. Cookies can be “Persistent” or “Session” Cookies. We use both for:

  • Necessary / Essential Cookies: to authenticate users and prevent fraudulent use of user accounts.
  • Cookies Policy / Notice Acceptance Cookies: to identify if users have accepted the use of cookies on the Website.
  • Functionality Cookies: to remember choices You make when You use the Website, such as remembering Your login details or language preference.

Use of Your Personal Data

The Company may use Personal Data to provide and maintain our Service; manage Your Account; provide analytics; deliver translations; contact You; process emergency and maintenance reports; and for other business purposes. We may share Your personal information with Service Providers, in the event of a business transfer, with Affiliates, or with Your consent.

Data Encryption and Security Measures

  • SSL Encryption: All data transmitted between Your device and our servers is encrypted using SSL encryption site-wide.
  • AES-GCM Encryption: All stored data is encrypted at rest using AES-GCM encryption.
  • Secure Infrastructure: Our primary web server is located in Oregon, United States, with additional infrastructure in California and Nevada.

Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. Upon account deletion, scan data is anonymized or deleted within 90 days.

Delete Your Personal Data

You may update, amend, or delete Your information at any time by signing in to Your Account, or by contacting Us at [email protected].

Children’s Privacy

Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13.

Patron Privacy (QR Code End Users)

When a Patron scans a QR code: no account, login, or app download is required; no names or email addresses are collected; device language settings are used solely to provide the correct translation; and location data is never collected during regular scans.

Changes to this Privacy Policy

We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page and updating the “Last updated” date.
